Help unload supplies and set up all of the activity booths, decorations, raffle room, and more before the start of the event.

Clean Up 6:00pm-8:00 pm

Help put away (in an organized fashion) all of the booth decorations and supplies. Clean up butterbeer stuff. Collapse all pop-ups and tables and put them away in designated areas. Load all boxes and supplies into vehicles. Volunteers must be mobile, efficient and able to lift medium-sized loads.

Help check in guests and sponsors, plus hand out passports, pre-paid galleons and Bottomless Butterbeer Cups. These volunteers must be friendly and efficient to get the lines of guests into the event in a timely fashion.

Greet all volunteers before they enter the event, provide their volunteer bracelet, and confirm their assignment(s) for the day. Show them their booth on the event map and direct them to the designated area.

Gringotts Bank / Diagon Alley 12:00pm-6:00 pm

Volunteers will help sell galleons, merchandise and raffle tickets at this booth. Galleons are only available for pre-sale or at Gringotts Bank and are the form of currency used in Potterverse for purchasing butterbeer, candy and snacks from the Hogwarts Express trolley. The adjacent Diagon Alley booth will sell various wizarding merchandise and raffle tickets.Volunteers need to be friendly and efficient, as these booths will be very busy.

Greet guests and answer any questions regarding the raffle. Also, help supervise the area to be sure nobody is touching the raffle items and nothing is stolen.

Wand Making 12:00pm-6:00 pm

Volunteers will help guests create customized wands with decorative items such as hot glue, beads, twine, paint and more, as well as making sure that the hot glue and scissors are being handled safely. Volunteers also need to help to keep the table area neat and refill supplies as needed. Anyone who signs up to help with this booth should be energetic, good with kids and enjoy doing artsy craftsy activities.

Potion Making 12:00pm-6:00 pm

Volunteers will help guests create their own potion with “wizard-type” ingredients by offering assistance as needed, especially with young kids. Various edible items will be supplied in fun potion jars and decanters for guests to pour and mix into their plastic sealable vial to take with them. Volunteers need to help to keep the table area neat and refill supplies as needed. Anyone who signs up to help with this booth should be energetic, good with kids and enjoy doing artsy craftsy activities.

Fortune Telling 12:00pm-2:30 pm

Adult volunteers are preferred for this activity. Must be willing to dress up and stay in character as a mystical reader of fortunes. Each of the three fortune teller booths are decorated in silks and have a table with two chairs to provide a private fortune telling experience using various provided items, such as a crystal ball, tarot cards, astrology charts and tea leaves – all for effect, of course!

Adult volunteers are preferred for this activity. Must be willing to dress up and stay in character as a mystical reader of fortunes. Each of the three fortune teller booths are decorated in silks and have a table with two chairs to provide a private fortune telling experience using various provided items, such as a crystal ball, tarot cards, astrology charts and tea leaves – all for effect, of course!

House Sorting 12:00pm-6:00 pm

Volunteers will help greet guests and sort each person into their proper Hogwarts House by providing a written test or some other trial (such as holding the sorting hat over their head). After sorting, each guest gets to put a gem into their House Cup Jar and wear a sticker representing their house with pride. Volunteers need to be friendly and efficient, as this booth will be very busy.

Help guests create their own “cootie catcher” to take home using a pre-printed template, allowing them to determine their patronus by choosing numbers and wizarding items. Volunteers will provide instruction about cutting and folding, keep the table area neat and refill supplies as needed. Anyone who signs up to help with this booth should be energetic, good with kids and enjoy doing artsy craftsy activities.

Help prep and serve our delicious butterbeer to guests. Each cup of butterbeer will include ice, the pre-mixed butterbeer beverage and a creamy butterscotch topping. Volunteers will also collect galleons (as payment), sell water bottles (if preferred) and keep the table area clean. Volunteers for this booth need to be friendly and efficient to serve guests quickly since it stays busy throughout the event. Serving gloves provided.

Candy Shoppe 3:30pm-6:00 pm

Help serve unique candy to guests from the shoppe’s bulk bins. Each guest will get to customize their 4 oz candy bag and the volunteer will use tongs and servers to put candy in the bag. Volunteers will also collect galleons (as payment) and keep the table area clean. Anyone working at this booth needs to be friendly and efficient to serve guests quickly since it stays busy throughout the event. Serving gloves provided.

This assignment is perfect for anyone who is flexible with activity selection and willing to help out wherever needed on the day of the event. These volunteers will help fill in if someone at a booth is unable to attend last minute or they might be asked to do “runner-type” activities such as prepping butterbeer and delivering it to the booths, checking in on volunteers at booths to see if they need anything like water bottles or supplies, or helping out with clean-up and maintenance related tasks.
